Outlook 2013 Shortcut Keys & Tips

Addressing a Recipient for the First Time

  1. From a new mail message, click in the To:, Cc:, or Bcc: field and enter the recipients first and/or last name.
  2. Press Ctrl-K or click on Check Names button in the Message ribbon. (This command checks the Global Address List for the user. If the user’s name is unique, it will populate the To:, Cc:, or Bcc: field. If it is not unique a dialogue box will appear and you can select the party of your choice.)

Creating New Items

Depending on the view you are in, you can use the Shortcut key “Ctrl-N” to create a new item:

  1. When in the Calendar, press “Ctrl-N” to create a New Appt.
  2. When in the Contacts view, press “Ctrl-N” to create a New Contact.
  3. When in the Mail view, press “Ctrl-N” to create a New Mail Message.
  4. When in the Task view, press “Ctrl-N” to create a New Task.

Opening Views in a New Window

Occasionally you have the need to view your Calendar and Email at the same time or your Calendar and Contacts. You do have the ability to have multiple views open simultaneously. Here’s how to do it:

  1. From the Navigation pane, right click on the navigation button or navigation text, for example the Calendar icon.
  2. When the shortcut menu appears, select “Open in New Window”.
  3. The calendar will open in its own window.
  4. You can do the same for your contacts and your tasks.
